Just set a date and stick to it. Those who can will, those who can't won't. I'll need to book time off to attend and I'll need to be confident it's not going to change at the last minute. What Martin said ^^^ the only way to do it is Adrian makes a decision on the date and those who can commit to it put their names on the list.
Some will drop out and some will suddenly be free that day, those who do attend will probably have a good time irrespective of weather or tourists.
FWIW my May calender is populated only by the bank holidays and tumble weed at the moment though this will change as we get closer to the time.

I'll check the calendar when I get home, I am at Mum's for the weekend, and see what I can come up with.

Right!
Saturday April 27th. What say you? Beautiful Oxford in the spring, beer, maybe even a few photos in the company of a nutjob lugging round a collection of antediluvian junk. What could be better?

What could be better? Sorry that clashes with a large format meetup I've signed up to. The hardware used might not be truly antediluvian, but it was mooted to celebrate a lenses 160th anniversary. Hopefully I'll be able to manage another soon

What could be better? I can’t do that one I’m afraid. Won’t actually be that far away as it happens but will be at a 90th birthday do in Henley.

What could be better? I thought we were talking about May, that is just three weeks after Martin's Salisbury meet. As it happens I can do either but would be in the dog house if I did both.

I was trying to avoid May as I have both a vintage lawnmower rally and a cricket tour, but I reckon I can do Saturday 11th - does that suit people better?
